Employer Onboarding & File Ingestion · Pension & Benefits Administration

Mapping employer onboarding, contribution files, and exception handling end-to-end for IAM 401k.

Benefit-case, contract, and CBA workflow discovery; SFTP file ingestion and contribution workflows; validation and exception-handling layered into the employer portal, across one platform.

Challenge

Plan administration is document-rich and exception-driven

Pension admin sits inside thick regulation, ERISA, plan documents, CBAs, and the operational reality that every employer files contributions differently. IAM 401k needed a backbone to onboard employers cleanly, ingest SFTP files in bulk, validate them, and route exceptions to the right person without losing the audit trail.

Before automation, employer setup, intake, validation, and remediation lived across teams and tools. Decisions had owners; the trail did not.

Solution

End-to-end workflow discovery, then a configured platform

REQUORDIT ran workflow discovery across benefit cases, contracts and CBAs, employer setup, file ingestion, and file management, then configured the platform against it. Enrollment and benefit documents are captured, classified, validated, and posted. SFTP files are ingested and validated record-by-record, with exceptions routed by error type. The employer portal sits on top with authenticated self-service and the same audit trail underneath.

  • Benefit-case, contract, and CBA workflow mapped end-to-end before configuration.
  • Employer setup workflow capturing plan configuration and document hand-off.
  • SFTP contribution file ingestion with record-level validation.
  • Exception handling layered into the employer portal with owner routing.
  • Unified file management across structured and unstructured benefit documents.
Every exception type has a defined resolution path and an owner. New exception types get a path in the next sprint. The exception queue is a backlog, not a graveyard.

Outcome

Exception handling becomes a backlog, not a graveyard

The work in pension admin isn't validating files, it's handling exceptions. The IAM 401k pattern: every exception type has a defined resolution path and an owner. New types get a path in the next sprint. The queue is a backlog with throughput, not a graveyard.

Onboarding, intake, and remediation all live on one platform with the audit trail intact end-to-end.

  • Defined resolution path and owner for every exception type.
  • Authenticated employer portal with self-service tied to back-end workflow.
  • Single audit trail across enrollment, contributions, and exception remediation.
